What is ProcedureLogs?

ProcedureLogs is the premier procedure tracking software suite for medical procedural trainees and their program officials.  ProcedureLogs allows trainees to  log all of their procedures for perpetual cloud-based storage and see comparative statistics to other trainees across the nation.  Program officials can monitor  trainee performance with statistically validated metrics, perform feedback, gain automated faculty input on trainee performance, and certify official procedure logs. Institutions can leverage certified ProcedureLogs for credentialing and licensing.

What are the trainee benefits?

When you use ProcedureLogs, you get real time statistics about your procedure performance.  Full trainee members gets real-time statistical comparisons with other current and historical trainees from your home institution but also with other institutions across the country. You'll get immediate feedback on your performance updated real-time.  ProcedureLogs gives you the comfort of a HIPAA complaint perpetual procedure log with cloud storage and automated backup. Each time you apply for credentials at a new health care facility, you can be safe in knowing that your certified procedure logs are easily accessible. 

What are the program director and institutional benefits?

ProcedureLogs was built by program directors, for program directors. When your institution uses ProcedureLogs you get the benefit of real time performance statistics for your program compared to other programs across the country. Access real time statistics on any of your trainee's performance compared to their colleagues both at your institution and at other institutions across the country.  Using objective, validated statistical performance measures, you can target high performers for more challenging training while under-performers can be helped with remediation using ProcedureLogs early detection indicators and reports. Incorporate objective measures into your automatically stored evaluations and feedback sessions. With a full institutional membership, once a trainee has graduated, their stored and certified procedure logs are available for immediate distribution to credentialing and licensing authorities.  No more sorting through folders and spreadsheets!

How much is a trainee membership?

As a trainee, you can sign up for a ProcedureLogs Basic account for free!  Once you have been verified as an official trainee, this will provide you with basic logging capabilities and individual statistics during your training. The basic membership does not provide comparative statistics with others and your ProcedureLog will not be perpetually accessible after your graduation. A Full Trainee institutional membership allows access to the complete suite of ProcedureLogs services and perpetual access to your certified logs.

Does ProcedureLogs sell my personal contact information?

No. ProcedureLogs will not sell any of your personal contact information to outside parties.  ProcedureLogs will perform certification and verification of an individual's official procedure log with licensing and credentialing agencies when requested by third parties, usually potential employers or their agents.  This is typically done at the request of the trainee / employee as part of the credentialing process. See the end user license agreement for more details. 

What are the browser requirements for ProcedureLogs?

ProcedureLogs has been tested on multiple platforms, including mobile, and performs well on nearly all modern internet browsers that support CSS and JavaScript. ProcedureLogs is optimized for Chrome, Firefox, Safari (desktop and iOS), Edge, and Opera. It has also been tested on Firefox ESR, Internet Explorer, Chrome for Android, Chrome for IOS, UC Browser, Opera Mini, and Samsung Internet.  

Are browser cookies required for ProcedureLogs?

Yes. Cookies are small pieces of data that are stored on your local machine for use during the ProcedureLogs experience. Your use of ProcedureLogs implies approval for the use of cookies. ProcedureLogs does not use cookies for tracking or advertising purposes. See the end user license agreement for details.

Your Account

How do I reset my password?

If you cannot log in because you've forgotten your password, go to the login screen by clicking in the right upper corner of the welcome screen. Select "Forgot Password" and a reset email will be sent to your established email account.  If you are logged in already but would like to change your password, simply click on "My Account" to go to your user home page. Click on the "Edit" tab and enter your current password. From there you can change your account information. As always contact ProcedureLogs administrators if you have troubles.

How can I change my email, user name, or add a photo to my account?

Once you are logged in to ProcedureLogs, go to your user home page and click on "My account" and then on the "Edit" tab and enter your current password. From this screen you can change any of your account information, add a photo of yourself, and many other things. As always, contact us if you have troubles.

Why would I add a photo to my account?

Photos of the individual are often sent to programs by credentialing and licensing agencies to assure that the person applying for credentials is the same as the person that was in training. Having your professional photo included in your ProcedureLogs account makes this process easier for the programs. This is especially true when program personnel have changed since your training was completed.

Can I share an account with another trainee or program official?

No.  Please do not share your account information with anyone. At a minimum, shared accounts are a security risk. For trainees, ProcedureLogs uses the login credentials for certification purposes and logging verification.  If more than one trainee is using the same account, there will be no way to discern between individuals logging procedures and the procedure log will be invalidated.  For program officials, different roles have different system access and different responsibilities.  If shared accounts are discovered, ProcedureLogs reserves the right to invalidate and suspend the involved accounts.

For Trainees

How do I log a procedure?

Easy.  Logging a usual procedure takes about 25 seconds (we've timed it).  Simply log into ProcedureLogs after doing the procedure and look at the right side of the page. Your particular specialty's procedures are listed at the top of the right column labeled "Quick Links". Clicking on any procedure name will take you directly to the logging form which is individualized for each procedure. Most of the time the defaults are acceptable and once complete, simply click on the save button at the bottom of the form. That's all there is to it! The procedure is automatically added to your log and your statistics are updated.

What if I make a mistake when logging and need to edit a procedure?

Procedures previously logged are easy to edit.  The bottom of your home page has a running list of recently logged procedures in reverse chronological order. Clicking on any of these procedure titles will take you to the view screen. Click the "Edit" tab to change anything you've previously logged . Don't forget to click on "Save" when you're done.  A similar, but more detailed and completely sortable list of all your procedures is found on your "My Procedures" page.  Finally, the search bar along the right column of any page can also take you to a specific procedure if searched by procedure name, date, etc.  You can even delete a procedure if needed using any of these methods.

Can I view and print my procedure log?

Of course.  Simply click on the "My Procedure Log" tab and this will take you to your current procedure log. If you have trained in multiple programs or specialities, pick which program ProcedureLog you are interested in viewing from the dropdown. If you have completed training, the certification status of your ProcedureLog will also show up at the top of this page. For Full Trainee members, this log is stored by ProcedureLogs perpetually so there's no real reason to print it. If you need a hardcopy, from this page you can use your browser print function (File->Print) to print it.  Depending on your browser, you can also export as a PDF or print to a PDF file. 

What happens when I graduate?

Once you've completed training, your program will change your status on ProcedureLogs and certify your procedure log to be official and complete. At that point, you will not be able to add more procedures to your official training log. After graduation, you will not be able to see comparative statistics with other trainees any more and some other parts of ProcedureLogs will be inactivated.  You will still be able to log on and access your ProcedureLog as before. Your program will have complete access to your log and account statistics however. 

What if I do another training program after I have graduated?

If you go on to enter into another speciality training program that is part of ProcedureLogs, your new program will convert your account back to a trainee account under the new specialty and you can start logging again under the new program! There is no need for new account. You can still always access your old logs through the system. 

Can other trainees see my information?

No.  Your account is private and no other trainees can see your logs, performance statistics, evaluations, or account details. Some statistical pages on the site do however show cumulative data by center or by training year. Your program directors and program coordinators do get full comparative statistics for all of their trainees but this is only visible to program officials.

How are my logged procedures verified?

ProcedureLogs randomly selects a specific number of procedures for verification to assure accuracy of logging and supervision. These verifications are performed by email sent to the listed supervising faculty member.  That faculty member not only confirms supervision of the procedure but gives feedback on the trainee's performance of the procedure. This information is presented cumulatively on your "My PL Performance Eval" report at the top of the page under "Faculty Feedback".

What is the "My PL Performance Eval" page?

The ProcedureLogs Performance Evaluation is a proprietary statistical summary of your performance compared to other trainees who have logged cases in ProcedureLogs across the country. The PL Evaluation and Overall Rating are statistically calculated using population data from all current and previous trainees from your specialty including procedures up to the exact time point in training as you. Your scores are compared to the population and statistical significance is assessed by ProcedureLogs.  These calculated numbers are not meant to be a valuation of your worth as a trainee but they can be useful as a means to guide your training emphasis and show your strengths and weaknesses using objective metrics. Other trainees cannot see your performance eval or rating however your program director can see these statistics for each of his / her trainees. 

For Program Officials

How do I add a trainee to my program?

As the academic year begins, you'll want to add your new trainees to your ProcedureLogs account.  The simplest way to do this is to have the trainee go to www.procedurelogs.com and apply for an account. This is found by clicking on the login link at the top right of the screen and then choosing "Create Account" and completing the form.  Make sure the trainee indicates which institution and program they are starting.  Once this form is submitted, ProcedureLogs personnel will notify the program director for final approval of the account. The program director will change the role of that trainee to "Trainee Full" and that will allow all privileges for that trainee. 

Can I manually add a trainee to my program?

Of course.  Simply click "Add a new trainee manually" on the Quick Link menu along the right side of the home page and complete the form for the trainee.  You'll have to make a password to remember and forward that to the trainee so they can log in.  Once they've logged in, encourage them to change their password and any other account information as necessary.

How do I delete a trainee?

Trainees cannot be deleted from the system by program staff. This avoids abandoned partial procedure logs and other administrative issues.  If a trainee is accidentally entered into the system for your program, please contact ProcedureLogs staff and we'll take care of it.  

What do I do when a trainee graduates or leaves the program?

When a trainee departs the program, you'll need to certify their procedure log and change their status to "Completed Training".  This is very easy to do.  Go to the "Your Trainees" tab on the main navigation menu and find that trainees entry in the table.  A specific trainee can be found easily using the search box on this page as well.  Once the trainee is found, review their procedure log by clicking on the proper icon.  When you are satisfied, click on the "Certify Training as Complete" icon for that trainee and complete the form.  This form will verify starting and ending dates, and other details about the trainee.  Once complete, type your digital signature in the appropriate field and save the certification.  Once completed, the trainee's status will be changed and their procedure log cannot be altered further.  Don't do this until the trainee is ready to graduate.  

How do I add a new supervising faculty?

A critical part of the ProcedureLogs verification system is contacting the supervising faculty who is working with the trainee for feedback. This requires you to keep an updated supervising faculty list in the ProcedureLogs system. To add a new faculty member, click on "Add a supervising faculty" link along the right of the screen. This will take you to the simple form to add the new supervisor.  Don't forget to add the correct email address for that faculty member! Any information on this faculty member can be changed through the "Your Faculty" menu by clicking on the "Edit Status" icon next to that faculty member's name. 

What happens when a faculty member leaves?

Simply go to the "Your Faculty" menu and find the faculty member in question on the list and click on the "Edit Status" icon.  This will take you to that faculty member's page and all you have to do is uncheck the "Current" box to indicate that they are no longer with your program.  Click save and you're done.

How can I compare each of my trainees' performance?

Click on the "Your Trainees' Procedures" menu tab. You can choose any of the procedures in your specialty to compare numbers between all of your current and former trainees. This tab will also show you speciality specific quality performance indicators for each of your trainees.  These tables can generally be sorted by any of the column headers with a simple click.  This screen is helpful during your feedback sessions with an individual trainee.  Program summary data can also be viewed on this page as compared to other programs across the country.

Can I document trainee feedback in ProcedureLogs?

Absolutely.  The ACGME requires regular feedback documentation with all trainees, usually semi-annually.  ProcedureLogs can help you meet this requirement using objective comparative data for every trainee in your program.  To document evaluation and feedback, simply click on the "Evaluations and Feedback" menu tab. Once you've chosen the correct trainee, you'll be taken to a screen that shows some objective performance data along with faculty performance ratings for that trainee. You can give that trainee a numeric rating and type a narrative into the form as you see fit.  Once saved, this will be stored in that trainee's ProcedureLogs account perpetually.  Note that during their training period (but not after graduation), the trainee will be able to see the numeric rating you have chosen and the comments you have saved for them.
